Marine Crewing Administrator
Seeking someone to work in a marine crewing department- helping mariners get to and from ships, and ensure they have the appropriate training and credentials

Education: College degree. Experience in the maritime / shipping industry
Key Responsibilities
This position includes, but is not limited to, the following responsibilities:

Manage the crewing operations for assigned vessels and provide support for additional vessels as needed.

Coordinate with applicable unions regarding job calls and routine crewing matters.

Work closely with the Labor Relations Manager to address crew and union-related concerns.

Ensure all crewing procedures comply with company HR and Legal standards, in coordination with Human Resources.

Maintain accurate personnel records in both physical and electronic formats.

Facilitate onboarding for new hires and process required documentation for returning crew members.

Conduct background screenings in accordance with company policy.
-
Verify shipboard credentials through document review and confirmation via the USCG website.

Coordinate required training programs and monitor completion and compliance.

Organize and manage crew changes and assignments across assigned vessels.

Review and oversee performance documentation for vessel personnel on an ongoing basis.

Record, track, and maintain crew evaluation data.

Arrange travel logistics for embarking and disembarking crew members.

Conduct vessel visits when operationally and financially feasible.
-
Enter and manage crewing data within NS, Workday, and other applicable systems.

Proactively plan crew rotations to ensure proper staffing levels are consistently maintained.

Post and monitor job updates with unions to confirm qualified personnel are secured for all union vessels.

Ensure crewmembers understand and maintain compliance with visa requirements, certifications, flag state endorsements, and related documentation.

Monitor and schedule medical exams and other employment-related requirements for both new and current employees.

Respond to employment and unemployment verification requests.

Maintain familiarity with the crewing sections of the Safety Management System (SMS), recommend improvements when appropriate, and represent the crewing function during internal and external audits.

Support planning efforts for officer and leadership conferences.

Perform additional duties as assigned by management.
